Among the responsibilities of the Assistant Bookkeeper are administrative assistance to the Foundation’s Development, Volunteer Services, and the Health Auxiliary departments. Administrative chores, such as taking registrations for special events, sending thank you notes, and processing bills, are also part of the job description. Basic accounting and record keeping for the Foundation are also included. - The Foundation Board of Trustees, Auxiliary, and Development Council Committees’ setup, lunches, and meeting locations are planned.
- Following the guidance of the Account Manager, prepare a cash receipt and disbursement report Assistance with the repayment of medical insurance claims for clients Attend team meetings on a regular basis to stay up to date on the demands of your clients.
- Answering the phone and transferring calls to the appropriate staff member Greeting customers and guests Utilizing Microsoft Office, create and alter documents. Keep an electronic and hard copy file system.
- Enter all of your clients’ invoices into your accounting software so that you always pay them on time.
- Provides reception and secretarial support to the department. Ensures that all incoming phone calls are handled promptly and professionally, including returning missed calls as soon as possible and answering any questions that may have arisen.
- Tracks financial transactions and captures any missed data for the company’s daily records. Assist the Controller with data entry for all three business entities’ material purchases using QuickBooks. Role Purchases must be tracked, documented, and preserved.
- If all statements and other documents are downloaded, renamed, and placed in the correct places, this may be avoided. Adding names to checks by hand, or manually entering the transactions. Keeping lines of communication open and honest throughout the group.
- In addition to processing gift transactions and creating revenue transmissions, performs weekly reconciliations with the finance department. Maintains the balances of checking and money market accounts, creates financial reports, and analyzes finances.
- Maintaining a record of all expenditures made by the company. Every money spent and earned on special occasions is meticulously recorded.
- Every time you receive or send a letter or an e-mail, examine it for actionable things, such as check copies or financial records.
- Experience with DataFaction with Imaging is preferred, but excellent computer learning abilities are necessary.
- The ideal candidate must have a high level of adaptability since the duties of this role are varied and expand as the team expands.
- Capability of functioning with little or no instruction on daily chores on projects that are difficult and need judgment in selecting how to solve issues or providing recommendations
- Microsoft Word’s mail merge function must be familiar to you. Working knowledge of Microsoft Excel is a necessity. Fluency in the English language in all three meanings is a need. Excellent interpersonal and organizational abilities, along with the ability to adapt and multitask, are all readily apparent. An impressive ability to speak in front of others.
