The Operations Administrator is a key member of the management team, playing a vital position in the department’s day-to-day operations, new product development, and efficiency improvements—all of which are necessary for achieving the department’s research objectives.

Qualifications:

  • Help assess property-wide inefficiencies by pulling data for weekly or monthly reports.
  • help with keeping up with broker commitments, paperwork, and insurance needs.
  • From small tools to massive mechanicals, assist in recording new equipment model and warranty information.
  • A comprehension of all maintenance procedures and an assessment of their effectiveness.
  • Keep an eye on, aid in planning, and participate in the annual testing and inspections of the fire alarm system and/or elevator that are conducted on-site.
  • Assist with project scheduling and act as a central point of contact for all project schedules and activity.
  • Help keep tabs on and assess the value of typical R&M costs. It’s important to keep tabs on project expenses, verify submitted invoices, and pay suppliers in a timely manner.
  • Help with quarterly audits and inspections by keeping a journal of your preventative maintenance actions.
  • Recognize software requirements and onsite team challenges as they pertain to new technologies.
  • Collaborate with local groups to design and implement a training program.

Skills:

  • Expertise in planning, scheduling, and prioritizing tasks.
  • Outstanding Excel abilities. Strong working knowledge of Microsoft Office platforms, aptitude for learning new modules and cutting-edge technology, and more.
  • Experience working as an administrator in a fast-paced, project-based setting for at least five years.
  • Proficient use of office equipment and information systems, such as databases, the Internet, email, word processors, spreadsheet programs, and video conferences.
  • It is necessary to have prior vendor management expertise using Nexus or a comparable platform.
