We are seeking an Administrative Assistant! The ideal applicant would provide advanced administrative assistance to 2-3 executives, which will necessitate a broad and in-depth understanding of corporate policies, procedures, and practices. This person will independently ensure that office systems and divisional processes, policies, and practices are efficiently administered. The idea person will work with a variety of internal and external clients on a variety of topics that demand tact and diplomacy, and may provide functional guidance and training to other Division workers.

Qualifications:
- Organizing meetings and transportation for the team to interview possible new personnel.
- Coordinates the acquisition and distribution of instructional materials and branded goods.
- coordinates travel and prepares, processes, and maintains all travel-related papers.
- Compiles, synthesizes, and analyzes information. Prepares a variety of basic and sophisticated reports.
- Download monthly project cost reports to help team managers monitor spending.
- Schedules, meetings, conferences, workshops, travel plans, visitors/vendors, supplies, mail/mailboxes, records, training, publications, space planning, and information flow are just some of the things that need to be managed and/or monitored on a regular basis.
- Offer advice and comments on administrative practices specific to your company and act as a resource for staff regarding institutional policies, demands, and procedures.
- oversees and keeps an eye on administrative projects. performs other tasks as needed or instructed.
- Assist the Group Manager, task leaders, and group researchers with their daily tasks.
- Helps to plan distant class weekends and events and backs up the program coordinator; this involves close coordination and regular communication with teachers, employees, chefs, janitorial staff, hotels, travel agencies, guest speakers, and more.
Skills:
- 1 or more years of experience in the field, together with a high school diploma or an equivalent. Alternatively, you could have an associate’s degree, a certification program with a comparable scope, or equivalently applicable training.
- Aptitude for quickly learning new skills, new processes, and unfamiliar business software systems with complicated user interfaces.
- Ability to work pro-actively and take the initiative, when necessary, in out-of-the-ordinary circumstances.
- Minimum of one year of related work experience and a high school diploma or equivalent is required. Alternately, a certification program or Associate’s degree with equivalent rigor would suffice, as would equivalent related education/experience.
- Having the confidence and ability to make judgments on your own within the bounds of your position’s authority, consulting with others only when absolutely necessary.
