Job Description

An Operations Administrator will report to the Director of Finance and Operations and work across the affiliate to ensure that all teams have the resources they need to achieve their goals. This includes providing administrative support to the Executive Director and Board of Directors, keeping the office space neat and well-stocked for all employees, and overseeing office personnel.

Qualifications:

  • a comprehension of all of the policies about maintenance as well as an analysis of how effective they are.
  • Monitor, schedule, and assist with annual elevator and/or fire testing and inspections on-site.
  • Assist with your quarterly audits and inspections by keeping a journal of your preventative maintenance efforts.
  • Provide assistance with project planning and function as a central point of contact for all information pertaining to the project’s schedule and progress.
  • Work with the onsite staff to choose a suitable training program and make sure it is carried out properly.
  • Whether it be little tools or massive mechanicals, help record the model and warranty details of new equipment.
  • Obtain weekly/monthly reporting metrics and aid in the evaluation of inefficiencies at the property level.
  • assist with maintaining insurance requirements, documentation, and broker obligations.
  • Assist with tracking and evaluation of normal R&M expenses. Track project costs, review invoices for payment and approve and process vendor payments on a timely process.
  • Recognize software requirements and onsite team challenges in relation to new technology

Skills:

  • Successful administrative experience for a minimum of five years in an environment that focuses on projects and is confined by time.
  • You must have prior expertise using Nexus or a platform that is comparable for vendor management.
  • Competence in Excel is exceptional. Proficient in all Microsoft Office suite programs, with the aptitude to pick up more modules and keep up with technological developments.
  • Proficiency with office technology and information systems, including databases, online communications, word processing, spreadsheets and video conferencing.
  • strong organizational skills, including the ability to multitask and manage your time.
