Qualifications:
- Maintains office services through the assignment and monitoring of clerical tasks, management of communications, creation of filing systems, review and approval of supply requests, and general office upkeep.
- Duties include administration, clerical work, record keeping, bookkeeping, file reviewing, and providing other administrative support.
- Organize and carry out regular office events and functions, such as employee celebrations, client appreciation days, and charity drives.
- Helps people who have questions about the department’s offerings and is periodically tasked with suggesting an action plan to upper management.
- composes letters and reports, files documents, fields query, refers customers, and schedules appointments, among other clerical tasks.
- Participant in the business’s operational administration (projects and initiatives to improve service delivery to internal and external clients).
- Supervises and oversees workers, including scheduling, timecards, and employee reviews.
- Maintain office security procedures and make sure the office complies with the firm’s legal business continuity obligations.
- Supervise the day-to-day running of the office, from scheduling meetings to ensuring that the secretarial, clerical, and other support personnel are doing their jobs well (mail, document reproduction and hospitality)
- Oversee facility maintenance; serve as liaison with local property management and working with building personnel and appropriate internal contacts.
Skills:
- Capacity to maintain concentration, effectiveness, and success when juggling multiple tasks and pressing deadlines.
- A bachelor’s degree and at least seven years of management experience in a midsize or larger professional services firm are required.
- Competence in multitasking and setting priorities in a high-pressure, high-detail setting.

- Proficient in using Microsoft Office (Outlook, Word, Excel, and PowerPoint) and the ability to learn new software fast.
