Job Description
The Medical Secretary is responsible for both personal and professional improvement in terms of productivity and success. Ability to adapt to a dynamic team environment and openness to the notion of creating, promoting, and implementing novel rehabilitation programs are essential. Additional tasks may be allocated to the position, if needed.

Qualifications:
- By obtaining demographic and financial information, through face-to-face enrollment, which is relevant to proper reimbursement and statistical analysis, the system facilitates an efficient and professional registration method
- Responsible for the check-in function, which includes greeting and directing patients, answering all questions in a friendly and helpful way within the scope of responsibility, and getting signatures on all forms, such as assignment of benefits, notice of privacy, insurance waivers, and authorization forms.
- Collects physician practice authorizations and ensures that the necessary information is entered into both the registration and billing systems. Patients are given the instruction to seek out referrals as necessary.
- Understanding of clinical treatment and education methods and their use across a broad variety of medical diseases and stages of life is shown by this capability.
- To assist and support patients, their families, and the larger community, excellent customer service and phone etiquette, as well as proper handoff to the appropriate team members, are required.
- Involved in scheduling appointments, registering patients, and assisting in the exchange of information about patient insurance and/or worker’s compensation.
- The Medical Secretary checks in and out patients using EMR systems, verifies demographics, updates patient profiles, and collects co-payments or outstanding amounts. Follow-up and specialized appointments.
- Administrative assistance provided to physician. Prepares required letters, forms, and other papers. Enters data into an information system. Extremely confidential dictation is transcribed.
- Keeps in touch with clinical and support staff about updates to patient schedules and changes that need to be made. Also helps the Director manage the schedules of clinical staff.
- Responds to all incoming phone calls and directs them to the proper party. Providers and other office personnel get concise instructions. Routine information requests are handled by this person. Per practice policy, ensures that all urgent communications are given the utmost importance.
Skills:
- This position requires two years of previous work experience as a medical secretary or receptionist in a medical office setting, engaging with physicians, the general public, and/or patients.
- A diploma from an accredited high school or its equivalent is required. Additional education or training, preferably in the field of business administration or a healthcare-related course of study, or education of a similar kind is preferred.
- A working understanding of office equipment, including the telephone, computer and keyboard, photocopier, fax machine, and printer, is necessary.
- Medical documentation, such as medical records and insurance papers, must be understood. Outstanding computer skills; strong customer service skills; excellent oral and written communication skills
- Maintain positive working relationships with patients, their families, colleagues, physicians, and other members of the ancillary department, Excellent keyboarding skills and proficiency in Microsoft Word and Excel.
