The Operations Administrator has daily responsibilities. This person supports the Chief Portfolio Engineers and reports to the VP, Portfolio Operations & Strategy. As a hub of team communication, you’ll track division initiatives, handle budgets and spending, and manage documents. Ideal candidates are multitaskers with good time management and communication abilities. This highly visible function involves collaborating with internal teams, residents, and third-party consultants to relieve the engineering leadership team’s administrative burden. The Operations Administrator ensures projects are executed on schedule, under budget, and to high standards.

- track and evaluate standard R&M costs with your assistance. Keeping track of project expenditures, checking invoices before paying, and quickly processing vendor payments are all important steps.
- Information from weekly and monthly reports can be used to assess property-wide inefficiencies.
- Assist with project scheduling and serve as a hub for communication on all project timelines and activity.
- Collaborate with onsite teams to develop an appropriate training program and ensure that it is implemented correctly.
- Maintain insurance requirements, paperwork, and broker requirements as needed.
- Keep an eye on, aid in planning, and participate in the annual testing and inspections of the fire alarm system and/or elevator that are conducted on-site.
- From small tools to massive mechanicals, assist in documenting the model and warranty details of new equipment.
- Being familiar with and assessing all maintenance policies.
- Help with quarterly audits and inspections while keeping track of preventative maintenance records.
- Appreciate the need for new software and the difficulties faced by the onsite staff when implementing new technology.
- Office technology and information systems knowledge, such as databases, internet communications, word processing, spreadsheets, and video conferencing.
- Strong administrative professional with at least five years’ experience working in a fast-paced, project-based setting.
- Solid organizational skills, including multitasking and time-management.
- You must have prior knowledge with Nexus or a platform with a similar user interface for managing vendors.
- Outstanding Excel skills. Strong working knowledge of Microsoft Office platforms and the capacity to acquire new modules and emerging technologies, in addition to other qualifications.
