Job Description

A Document Control Specialist is needed here. Depending on the needs of the customer, this role may demand regular travel to a remote location. The ideal candidate will have extensive experience with Microsoft Office and the Project Management Information System. In order to meet various deadlines, they will need to work well with a large team and effectively communicate with each member.

  • Manage all project-related documents in the project management system that interfaces with our client’s document control software.
  • Maintain the Records Control Schedule in accordance with CRIM recommendations. Coordination with external Data and Records is part of this.
  • Assist project managers in drafting letters such as modification orders, notices to proceed, requests for quotations, and more.
  • Help the project managers, as well as the team working on the project, with everything having to do with project papers, as well as the management and distribution of documents.
  • Develop and maintain a process for filing and tracking project documentation that follows best standards.
  • Manage the handling, storage, and distribution of Protected Information.
  • Assist the project managers with keeping track of meeting minutes, project updates, payments, change orders, requests for information, and submitted documents.
  • Help project managers with administrative tasks such responding to RFIs, change orders, and payment requests (RFIs).
  • In compliance with standardized forms and procedures, prepare reports.
  • Collaborate with the design groups to sort the drawing sets and the company’s computer system. Each shipment is checked to make sure it satisfies the customer’s specifications before it is sent out.


  • It is preferred, and knowledge with e-Builder is very desirable, to have experience implementing and using document control software.
  • Working knowledge of scanners and other typical pieces of Document Control hardware and software is expected.
  • Previous experience in a construction environment is highly desirable, with an understanding of the construction process and coordination of various entities in the industry.
  • Microsoft Office program is required. Excel proficiency is necessary. It is necessary to be able to utilize Adobe Acrobat or Bluebeam.
  • possess at least two years of experience in document processing and data management.
