The executive administrative assistant is primarily in charge of carrying out a range of support duties, such as administrative work, ordering supplies, scheduling meetings and travel, taking incoming calls, distributing mail, managing the postage and shipping accounts, leading oversight for our travel systems, and assisting with training and meetings. Additionally, you’ll be collaborating with individuals who are enthusiastic about advancing the industry and energy efficiency.

Qualifications:

  • Handles meeting requests, sets up conference calls, and verifies availability. Takes care of rescheduling issues and fixes schedules to meet more pressing needs in a timely manner. Informs superiors of impending due dates and scheduled events.
  • Control the office’s contract with the shredding service, the postal machine, and any packages that need to be shipped.
  • Perform analytical and query work, as well as generate data-driven reports.
  • Place an order for lunch and snacks to be served at office and executive meetings, as well as training sessions.
  • Prepares meeting agendas, collects and disseminates relevant materials, reserves meeting rooms and supplies such as guest badges and audiovisual equipment. Receives and introduces themselves to visitors, participants, and potential employees. Distribution of follow-up materials is possible.
  • Ordering office supplies for multiple departments requires close supervision and approval. Pick industry-standard office supplies and haggle prices with vendors to meet annual savings targets.
  • The provision of general office support with a range of clerical activities and associated responsibilities, as well as the provision of administrative support to Executives when required.
  • Immediately completes business expenditure claims and, if necessary, follows up on reimbursements.
  • Help with initial beginning order of supplies, office and kitchen equipment selection, and utilities service for new offices.
  • Take the helm in overseeing the administration of the business travel department and help arrange trips for a select number of employees. Remember to voice your opinion regarding the company’s travel policies.

  • In order to be considered for the position of Executive Administrative Assistant, candidates should ideally hold a Bachelor’s degree or have substantial relevant work experience.

  • Takes the initiative to bring issues to the attention of supervisors and other relevant parties.
