Job Description

The Senior Administrative Assistant is responsible for answering phones, greeting customers, and doing a wide variety of other administrative tasks. – For all Assurance and certain Consulting service line engagements, this person will assist in the preparation, review and proofreading of all client deliverables, as well as formatting, footing, and tying them together.

Qualifications:

  • Assist students and potential students in finding the right campus resources and faculty and staff advisers to meet their educational needs. Provide basic student assistance, such as explaining checklists and prerequisites, by being acquainted with the structures and requirements of each program.. Perform administrative tasks relating to students’ degrees.

  • Serve as the department’s point of contact for questions about its programs and activities. Serve visitors promptly. Make sure there is adequate inventory in the department. Manage department, program, and faculty mails. In the office, it is important to have a decent filing system. Make and manage service requests for office maintenance and repairs. Assist in the supervision of student assistants and work-study students to guarantee the fulfillment of assigned tasks and adequate coverage of the office.
  • Ensure correct processes are followed while processing student and part-time job documentation and professional service agreements. Submit disbursement requests and trip reimbursements on schedule. Track administrative unit budgets, restricted accounts, and award/scholarship monies. Submit purchase orders and invoices for payment.
  • Manages and monitors the calendar of the department director, arranges and organizes appointments, makes travel arrangements, and completes paperwork for travel reimbursement; also manages and schedules the meeting calendars for the department.
  • Office supplies, postage meters, merchant card reconciliation, invoicing and receivables and database management are some of the responsibilities of the Admin Support Supervisor.
  • Following up with persons who inquire about the status or completion of work orders they’ve submitted, in addition to the timelyness of such jobs. Work order completion and productivity issues should be reported to your Physical Plant Supervisor Specialist so that they may be further investigated.
  • Maintain and update calendars in a setting with several competing priorities, including receiving all incoming scheduling requests, prioritizing the most essential and sensitive subjects and meetings, communicating with all parties, and ensuring meetings are set up for success.
  • Assists the Physical Plant Supervisor Specialist in supervising the staff coverage for the department and in re-directing the delegation of work orders duties depending on the coverage that is available within the department on a specific day.
  • Keep track of all email and list-serv accounts. Oversee the publication of program newsletters and other official documents. In charge of department and program bulletin boards and other on-campus marketing initiatives. Manage the department’s social media accounts. It is your job to keep the department’s and program’s websites up to date and well-planned.

Skills:

  • Acceptable educational backgrounds include experience in administrative support jobs, an associate’s degree from an accredited school, or any combination of training and experience that is equivalent and meets the standards.
  • To be considered for this position, you must have at least three years of experience working with the Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). Specifications are of the highest priority. Experience with Microsoft Teams is a valuable asset.
  • The manager of the department has major responsibility for maintaining and compiling correct records in the department’s office.
  • A degree is required. At the very least, you will require a bachelor’s degree. Preferably in the insurance business, with at least three years of experience in an executive administrative support job, with at least 8 to 10 years of administrative support experience.
  • Capability to communicate with and collaborate with a range of university officials, employees, and teachers. Excellent attention to detail, written and verbal communication skills, and the ability to multitask are necessary.
