Qualifications:
- As a member of the firm’s administrative operations team, you’ll be a part of initiatives and projects designed to enhance how we serve our internal and external customers.
- Plan and execute regular staff meetings and office events, such as client and company development events and charitable contributions.
- Complex clerical duties are carried out, such as typing messages and reports, processing forms, answering questions, making referrals, and setting up meetings.
- Organize and oversee all aspects of office operations, such as the provision of support services by office workers, conference center personnel, and practice assistants (secretarial) (mail, document reproduction and hospitality)
- Provides information to the public about the branch’s services, rules, and processes, and on occasion makes recommendations to management about how to proceed in certain situations.
- Manage the upkeep of the building, liaise between the management company and the tenants, and coordinate between the building’s staff and the relevant internal contacts.
- Provides ongoing support for office services through management of office processes and procedures, direction of communications, creation of filing structures, evaluation and approval of requests for office supplies, and delegation and supervision of clerical work.
- performs a variety of secretarial, administrative, record-keeping, accounting, file-reviewing, and other related duties as needed.
- Maintain office security procedures and make sure the office complies with the firm’s legal business continuity obligations.
- Supervises and oversees workers, including scheduling, timecards, and employee reviews.
Skills:
- The ability to prioritize and juggle multiple tasks in a high-pressure, detail-oriented workplace
- A bachelor’s degree and at least seven years of management experience in a midsize or larger professional services firm are required.
- Ability to learn new software fast and expert knowledge of Microsoft Office (Outlook, Word, Excel, and PowerPoint).
- Capability to manage various tasks and tight deadlines while remaining focused, efficient, and productive.
- Proven expertise at the top level in management, communication, and organization.
